TROOP POSITIONS

 

Girl Scout Leader

 

Appointed by and accountable to the service unit director

Required training

Purpose

Provide and deliver the Girl Scout program to “Every Girl, Everywhere”.

 

Qualifications
  • Be a registered adult member of Girl Scouts of the USA.
  • Understand, accept and support GSUSA and Hemlock Girl Scout Council policies and procedures.
  • Be able to work cooperatively and enthusiastically with girls and adults of diverse backgrounds.
  • Have the time and skills necessary to carry out major accountabilities.
  • Have a working knowledge of computers. Internet access to be able to use a Web-based system is desirable but not required.

 

Major accountabilities
  • Ensure the Girl Scout program within the troop/group.
  • Hold parent/guardian meetings and establish a troop committee.
  • Maintain contact with assistant leaders, girls, service unit director, team members, parents, troop committee and troop/group sponsors.
  • Utilize and uphold Safety-Wise standards and guidelines in planning troop/group activities.
  • Obtain parent permission slips for troop activities outside regular troop/group meeting time and place.
  • Provide girls on-going guidance as they select activities and plan for their participation including scheduling, checking health and safety standards, girl interest and resources.
  • Identify qualified community resources to enhance girl program and work with them to be sure they understand the purpose, responsibilities and procedures.
  • Assist girls in applying for financial aid and encourage girls to attend programs available to them.
  • Ensure that program activities are completed and earned Girl Scout awards are given to troop/group members.
  • Ensure all families are informed about and provided the opportunity to participate in Family Annual Giving.

 

Maintain policies and standards of Hemlock Girl Scout Council, Inc. and Girl Scouts of the United States of America.
  • Ensure every girl of troop/group age level is invited to participate in Girl Scouting.
  • Ensure all registration and health forms are properly completed, signed and register troop by October 1 or within four weeks of appointment.
  • Attend required leadership training.
  • Register additional girls adults as they join the troop/group throughout the year and inform your service unit registrar of changes in membership information.

 

Maintain accurate records and submit reports to service unit director or designee.
  • Update and complete the Sponsorship Agreement.
  • Submit completed Travel Application when planning to travel with your troop/group.
  • Submit completed Troop Money Earning Request when planning troop money earning projects.
  • Keep financial records current and submit the Detailed Cash Record/Annual Report of the Troop Treasurer and Troop Program Report by June 15.

 

Support Hemlock Girl Scout Council product sales and other council fund raising efforts.
  • Appoint troop/group product sales manager.
  • Ensure council procedures are followed and are understood by the girls, parent/guardian and troop/group.
  • Ensure all necessary parent permissions are obtained.

 

Recruit a troop/group representative for the service unit and association.
  • Attend or send an adult troop/group representative to all service unit and association meetings.
  • Keep girls informed of service unit/association events as well as those sponsored by the district, council and/or GSUSA. Provide assistance with
  • participation requirements.
  • Return all troop/group property and funds to the service unit director upon leadership resignation. Make recommendations to the service unit director for possible new leadership.

Assistant Girl Scout Leader

Outdoor Trained Adult

Going Places (for trips outside of troop meeting)
Cook Out (for outdoor cooking activities)
Camp Out (for outdoor overnight activities)

Purpose

Ensure sound planning and implementation of outdoor program within the troop.

 

Qualifications

  • Ensure outdoor program within the group utilizes Safety-Wise standards and guidelines in planning group outdoor activities.
  • Involve the girls in the planning and preparation before the activity assisting them in selecting age level appropriate outdoor activities that are progressive in nature.
  • Prepare troop/group, including adults, for outdoor experience by teaching and practicing outdoor skills and safety procedures needed for the particular planned activity.
  • Accompany the group on the outdoor activity.
  • Maintaining policies and standards of Hemlock Girl Scout Council and Girl Scouts of the USA.
  • Attend required outdoor training for level of activity planned with group.
  • Ensure that all girls have the opportunity participate in outdoor program regardless of ability or previous experience.

Troop Fall Product Manager

Purpose

To promote, coordinate and conduct the troop fall product sale. Work directly with girls, parents/guardians and volunteers to ensure that the fall product sale is carried out properly and in a timely manner.

 

Qualifications
  • Be a registered adult member of Girl Scouts of the USA.
  • Understand and accept GSUSA and Hemlock Girl Scout Council Policies and Procedures.
  • Be able to work cooperatively and enthusiastically with diverse girls and adults.
  • Have the time and skills necessary to carry out all major accountabilities.
  • Have the ability to provide clear instructions to girls and parents/guardians.
  • Have the ability to handle money, keep accurate records and account for all products and money received.
  • Be willing to make phone calls, meet with girls and follow-up with girls and parents on a regular basis.

Major accountabilities
  • Obtain training to become familiar with the objectives and procedures of the fall product sale.
  • Meet all deadlines as required for the sale.
  • Provide training for girls and parents/guardians in the troop on a specific date.
  • Distribute sale order forms and materials, and ensure that all girls have a signed permission slip to participate in the fall product sale.
  • Maintain continual contact with troop leaders regarding money and product.
  • Collect money, make immediate deposits to the troop bank account and keep accurate records of girls’ sales and payments.
  • Compile troop fall product sale order and complete the fall product sale paperwork.
  • Submit troop check and troop fall product sale paperwork to the service unit fall product manager by the deadline.
  • On the designated date, pick up troop nuts/candy from designated location and distribute to girls and parents/guardians.
  • Distribute girl earned incentives at the troop meeting immediately following the receipt of the items from the service unit fall product manager.

Troop Cookie Manager

Cookie Sale Training

 

Purpose

To promote, coordinate and conduct the troop Cookie Sale. Work directly with girls, parents and volunteers to ensure that the Cookie Sale is carried out properly and in a timely manner.

 

Qualifications
  • Be a registered adult member of Girl Scouts of the USA.
  • Understand and accept GSUSA and Hemlock Girl Scout Council Policies and Procedures.
  • Be able to work cooperatively and enthusiastically with diverse girls and adults.
  • Have the time and skills necessary to carry out all major accountabilities.
  • Have the ability to provide clear instructions to girls and parents/guardians.
  • Have the ability to handle money, keep accurate records and account for all cookies and money received.

  • Obtain training to become familiar with the objectives and procedures of the Cookie Sale including use of Web-based system.
  • Meet all deadlines as required for the sale.
  • Provide training for girls and parents/guardians in the troop on a specific date.
  • Distribute Cookie Sale order forms and materials; ensure that all girls have a signed permission slip to sell cookies.
  • Compile troop cookie order and enter in Web-based system.
  • On the designated date pick up cookies from designated location and distribute to girls and parents/guardians.
  • Maintain continual contact with troop leaders regarding cookies and money and follow up with girls and parents/guardians during the sale to determine progress.
  • Collect money on a regular basis for all cookies sold, make immediate deposits to the troop bank account and keep accurate records of girls’ sales and payments.
  • Follow up on delinquent accounts and keep records of all contacts regarding past dues. Submit names of girls who have not paid along with permission slip to service unit cookie manager. Forward all supporting documentation.
  • Verify in the Web-based system that you have entered money paid by girls and that all cookies have been distributed to girls out of round up.
  • Submit troop check to service unit cookie manager by the deadline.

  • Recruit, train, support and manage a team of adults who organize and support troops to ensure membership for all girls who would like to join a troop or group; and provide communication, support, training and programs for individually registered girls and adults, (troop organizers, troop consultants, individual member managers/consultants, program chairs and other members as needed)
  • Recruit and support a team of adults who serve as council trained/supported volunteers to ensure all girls are active in the council’s activities, (publicity managers, product sale managers, trainers, service project ambassadors, summer program ambassadors)
  • Refer and support elected adults and girls who are involved in the governance of Hemlock Girl Scout Council, (association resource member, delegates, girl representatives)
  • Ensure the selection procedures are carried out for all adult appointments.

Support and assist troops in the delivery of the Girl Scout program within the service unit jurisdiction.

  • Ensure troop leaders attend required trainings and encourage attendance at workshops or trainings to enhance the program delivered to girls.
  • Assist troop leaders in planning and implementation of the troop program.
  • Ensure all girls have the opportunity to participate in beyond-the-troop activities.
  • Contact all leaders weekly or bi-weekly to monitor troop activities, communicate changes in the Girl Scout program, help with problems, and ensure understanding and adherence to policies and procedures .
  • Keep the service unit director updated on troop programs and/or problems.
  • Evaluate the quality of the troop program and recommend re-appointment of leaders if appropriate.

Purpose

To promote, coordinate and conduct the troop Cookie Sale. Work directly with girls, parent and volunteers to ensure that the Cookie Sale is carried out properly and in a timely manner.

 

Qualifications

  • Understand and accept GSUSA and Hemlock Girl Scout Council Policies and Procedures.

  • Receive cookies at the designated delivery station and distribution cookies to the troops and individual girls who are participating in the Cookie Sale (coor dinate with the service unit’s individual girl cookie manager); obtain signature from troop cookie manager to support the number of cases of cookies dis tributed.
  • Assist with troop reorders, cookie shops, problems and/or collection of doubtful or delinquent accounts.
  • Monitor all troop Cookie Sale activity and communicate problems or concerns immediately to the council.
  • Collect all troop checks and cookie receipts for cases picked up and transferred, check for accuracy using the Web-based system, and correct all data entry problems; deposit troop checks into a council bank account and forward deposit slips to the council in accordance with council deadlines.
  • Complete the family Cookie Dough procedures including the data entry needed in the Web-based system.
  • Obtain all documentation for unpaid cookies and forward it to the council upon receipt.
  • Participate in evaluating the sale.

Purpose

“Do a good turn daily” - the Girl Scout slogan is a large part of the Girl Scout Movement. In many cases, troops are looking for service projects or the service projects are too large for one troop. Service Project Ambassadors plan, organize and conduct service projects within the service unit including Hemlock Girl Scout Council’s service project (“Be Your Best” - Goodwill clothing drive).

Summer Program Ambassador

Summer Program Ambassador Training

 

Purpose

Promote summer programs (resident camps and summer events) to increase the attendance of girls from their assigned geographic area.

 

Major accountabilities

Conduct the following projects before April 30, 2006:

  • Be a registered member of Girl Scouts of the USA.
  • Maintains contact with the summer event director, service unit director and field director
  • Attend the area’s program events (especially parent/guardian and daughter/ward) to promote summer programs through talks, displays, sample summer event activities, video, etc.
  • Conduct registration sign up nights for the area. These can be in conjunction with a program, which is already being held.
  • For troops who have not attended an area event in which summer program was promoted, visit their meeting or their parent/guardian and daughter/ward activity to promote summer pro- grams.
  • Place the resident camp and summer events issues of The Girl Scout Advantage in businesses within the area (i.e. libraries, doctor’s offices, etc).
  • Place articles/press releases in school and church newsletters, local small town papers, businesses that print newsletters to their employees, etc.
  • Create posters to promote summer programs and place them in schools, grocery stores, pharmacies, doctor offices, etc.
  • Attend an open house event at one of the council’s four Program Centers.
  • Complete report and submit to outdoor program specialist.
