Hemlock Girl Scout Council employs a staff of about 50 who work in numerous positions ranging from executive to administrative to camp staff. We offer both full- and part-time positions. Most staff work out of the Girl Scout Office in Harrisburg, or in one of the council’s service centers in Montoursville and State College.

Regardless of a staff member’s professional position, our primary goal is to support the council’s more than 4,800 adult volunteers who carry out Girl Scout programming to more than 15,800 girls ages 5 to 17 in central Pennsylvania.

Position Title: Administrative Assistant for Property

Department: Property

 Reports To: VP Asset Management 

Salary Range: $23,000 - $28,000

 

Position Summary

The Administrative Assistant is responsible to provide direct support to the Property Director by completing administrative, business support and other duties as assigned.

 

 Key Responsibilities

  • Perform clerical, secretarial services and prepare statistical reports for the property department.
  • Maintain the property files and assist in tracking items for the capital and operating budgets; code all property invoices for payment and present for approval.
  • Complete insurance claims for Worker’s Comp, Mutual of Omaha and purchases additional insurance for troops; provide the proper certificate of insurance where necessary.
  • Process site reservations of the council program facilities, utilizing available technology, in accordance with council policy.
  • Collaborate with the program and training departments regarding the use of council owned facilities for program opportunities and training events.
  • Provide administrative support to site managers; process monthly paperwork including the matching of purchase receipts to vendor invoices.
  • Maintain the inventory of AV equipment and heritage uniforms; manage the check in/out process.
  • Order janitorial, business office and equipment supplies; maintain accurate lists of the equipment cache at all program centers.
  • Monitor the outside cleaning service and report all deficiencies; ensure that the headquarters and Urban Center facilities are presentable and in proper order.
  • Assist in the administration of the telephone and voice mail services and equipment.
  • Provide professional, quality customer service to members, volunteers, staff, and other community contacts.

 

Job Duties

  • Process site reservations and ensure the proper insurance and qualified people are in place for program activities; prepare confirmations and other correspondence; provide site managers with up-to-date schedules of site reservations and any last minute changes.
  • Compile department management report from detailed statistical data maintained on an ongoing basis using actual site usage data.
  • Attend site manager meetings and record minutes.
  • Assign/delete voice mail for staff; maintain a current list of mailboxes per staff.
  • Complete insurance claims in a timely manner  (Worker’s Comp and Mutual of Omaha); purchase additional insurance for troop activities as indicated on travel applications.
  • Maintain a current list of certificate of liability insurance for organizations during business with the council; provide the council’s certificate of liability insurance to others as needed.
  • Purchase equipment for the program centers in accordance with the capital budget and/or by approval from supervisor; maintain the equipment cache at the Urban Center.
  • Order office, janitorial coffee and coke.
  • Handle room set-up needs for all meetings/events held at the Urban Center e.g. table set-up, refreshments, A/V needs, etc.
  • Assist answering the telephone console and back-up with out going mail.
  • Perform other duties as assigned.

 

Skills & Qualifications

  • Five years previous office experience preferred.
  • Proficient in the use of Microsoft Windows and Office software, a calculator and a copier.
  • Ability to organize and prioritize job demands in a continually changing work environment.
  • Ability to work independently and with limited supervision.
  • Self-motivated and a willingness to learn new skills.
  • Ability to effectively identify, analyze and solve problems.

  • Strong customer service skills with an understanding of its significance for the furtherance of the council’s mission.
  • Ability to communicate clearly orally and in writing.
  • Ability and willingness to work a flexible schedule and to travel throughout the council.
  • Ability to work with individuals of diverse backgrounds and ages.
  • Ability to work cooperatively in furtherance of stated goals.
  • Ability to handle high volume tasks (e.g. telephone calls and computer work).
  • Must be able to handle heavy lifting (up to 50 pounds).

Summer Resident Camp Directors

We are currently accepting applications for Summer Resident Camp Directors for two of our outdoor program facilities, Lycogis and Small Valley. The position is responsible for the overall operation and conduct of the Resident Camp program. In this position you will give leadership to the key administrative and program staff to coordinate and direct day to day camp operations. This position reports directly to the Outdoor Program Director.

Qualifications: 25 years old; Bachelor’s degree or equivalent relevant experience; minimum two seasons of administrative or supervisory experience in an organized camp or learning experience related to camp management; belief in the Girl Scout movement and in the Girl Scout camping objectives.
